WORKING TITLE: Maintenance Office Supervisor GRADE: 15 MONTHS: 12
SUMMARY DESCRIPTION OF CLASSIFICATION: Under direction, supervises the office operations of central maintenance. Work of the class involves supervisory responsibility for the work of clerical staff in the main office of central maintenance performing a variety of standard office procedures. The supervisor lays out assignments and trains workers, monitors workflow and activities and takes actions to ensure that work meets all requirements. The worker personally follows though on matters requiring contacts with central office accounting and purchasing, with vendors and with units within maintenance. The work requires knowledge of procurement and accounting procedures, skill in use of typewriters, word processors, calculators and computer terminals.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Considerable knowledge of the methods, procedures, systems and practices of a office management, including procurement processing, vendor policies, and accounts maintenance procedures. Good knowledge of the use of standard office appliances. Ability to plan, organizes, assign, and supervise the work of clerical personnel. Ability to establish standards of work performance and to evaluate results in terms of such standards. Ability to analyze office/clerical practices and procedures and recommend improvements, investigate and research problem areas, and prepare written reports and recommendations. Skill in the proficient operation of a typewriter, word processor, computer terminal and other office equipment. Good oral and written communication and human relations skills. Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING, AND EXPERIENCE: High School or GED diploma required. Associates degree preferred. Experience in increasingly responsible clerical work in the MCPS functional area of assignment. Appropriate college programs may be substituted for experience on a year- for-year basis. Other combinations of education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.
CERTIFICATE AND LICENSE REQUIREMENTS: None.
PHYSICAL DEMANDS: (Special requirements such as lifting heavy objects and frequent climbing.) None.
SPECIAL REQUIREMENTS: (Frequent overtime or night work required, etc.) Completion of MCPS Typing Test at required score.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

1. Supervises an office clerical group performing a variety of standard office procedures and tasks.

2. Lays out work and instructs workers in procedures.

3. Monitors work to ensure that requirements are achieved.

4. Takes steps to adjust assignments, personnel, work procedures, priorities and other matters to ensure effective performance.

5. Operates variety of standard office appliances including typewriter, word processor, calculators, computer terminals and facsimile machines.

6. Interacts with vendors, school accounting and purchasing staff, maintenance staff and others within and outside of MCPS to obtain and convey information, resolve problems, or to explain procedures.

7. Evaluates performance of employees.

8. Counsels workers and encourages their development and work performance.

9. Explains and enforces unit and MCPS personnel rules and policies.

10. Performs related work as required.
