WORKING TITLE: Grants Assistant GRADE: 15 MONTHS: 12
SUMMARY DESCRIPTION OF CLASSIFICATION: Under general supervision, performs financial and administrative recordkeeping and processing work in support of grant activities. The work of the class involves developing, maintaining, and processing grant related paperwork. The position serves as a central control and records maintenance point for all grants supported activities within MCPS. The worker assists grants administrators and staff with meeting grant requirements regarding reports and other submissions, participates in coordinating the preparation of grant proposals, and maintains information on grants.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Knowledge of the grants writing process and financial recordkeeping procedures; knowledge of business English, spelling, general vocabulary, and arithmetic; knowledge of office practices and procedures; working knowledge of, and ability to operate, modern office equipment; working knowledge of word processing software and spreadsheet computer software; working knowledge of the general organization and functions of the major units of MCPS.Ability to compose a variety of memoranda or letters from general instructions, ability to carry out, with limited supervision, continuing assignments requiring the organization and presentation of material, and ability to keep complex records, assemble, organize data, and prepare reports from such records. Skill in the operation of computer equipment. Good human relations and communications skills. Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING, AND EXPERIENCE: Associates degree required. Bachelors degree preferred. Coursework in business administration and increasingly responsible secretarial experience including compilation and presentation of numerical data required. College degree a plus. Experience with word processing and spreadsheet software. Other combinations of education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.
CERTIFICATE AND LICENSE REQUIREMENTS: None.
PHYSICAL DEMANDS: (Special requirements such as lifting heavy objects and frequent climbing.) Position operates computer terminal for prolonged periods.
SPECIAL REQUIREMENTS: (Frequent overtime or night work required, etc.) Ability to work overtime as required to meet deadlines.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

1. Reviews incoming publications and source materials for grant opportunities. Alerts program managers of availability of funds.

2. Works with budget specialists to assist program managers who are developing proposals to seek grant funds by preparing forms and budgets and assembling documents to submit to granting agencies.

3. Establishes and maintains contacts at granting agencies.

4. Handles requests for information about MCPS grants and assembles, furnishes, and maintains forms, reports, and other materials and financial and statistical records related to all MCPS grants.

5. Organizes and maintains grant files. Develops forms and procedures for grant activities.

6. Schedules budget agenda items for Board of Education meetings, notifies parties involved, and prepares materials for the Board of Education in the form of memoranda, tables, charts, and statistical data.

7. Assists the Chapter 2 LEA coordinator with administration of the MSDE coordinated federal grant providing service to MCPS programs and all eligible private schools in Montgomery County.

8. Assists with the department's role as liaison to the County Council and county executive. Distributes County Council agenda and materials to MCPS staff and coordinates attendance of appropriate staff at Council meetings under the direction of the department director.
