SUMMARY DESCRIPTION; PHYSICAL DEMANDS; AND SPECIAL REQUIREMENTS: SUMMARY DESCRIPTION OF CLASSIFICATION: Under direction of the director, the events management coordinator (coordinator), leads the planning and execution of district-wide events that celebrate student and staff achievements, support community engagement, and promote the mission of Montgomery County Public Schools (MCPS). The coordinator engages and collaborates with various offices and staff and oversees the logistics, budget, vendor relationships, scheduling, marketing and staffing for events and related activities as directed. PHYSICAL DEMANDS: As required by the duties and responsibilities of the job. SPECIAL REQUIREMENTS: Required to work evenings, weekends, and holidays as necessary to support school district events.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE SKILLS ABILITIES: KNOWLEDGE, SKILLS, AND ABILITIES:Proven ability to plan, coordinate, and execute large-scale events, including logistics management, venue coordination, vendor negotiations, and program development.Project Management: Strong project management skills, with the ability to manage multiple events simultaneously, meet tight deadlines, and adapt to changing priorities.Communication: Exceptional verbal and written communication skills to effectively collaborate with diverse internal and external stakeholders, including district leadership, vendors, and community partners.Attention to Detail: Keen eye for detail to ensure all aspects of event planning, from budgeting to on-site coordination, are executed flawlessly.Team Collaboration: Ability to work collaboratively with cross-functional teams, including communications, facilities, and security, ensuring all event needs are met.Problem-Solving: Strong problem-solving abilities to address last-minute issues and ensure smooth event execution.Technical Skills: Proficiency in event management software, budgeting tools, and Microsoft Office Suite; familiarity with audiovisual equipment and virtual event platforms is a plus.Customer Service: Excellent interpersonal skills to provide a high level of customer service to event attendees, staff, and community members.
EDUCATION, TRAINING AND EXPERIENCE; CERTIFICATE AND LICENSE REQUIREMENTS: EDUCATION, TRAINING, AND EXPERIENCE:Bachelor’s degree in Event Management, Public Relations, Marketing, Hospitality, Business Administration, or a related field. A Master’s degree in a relevant field preferred.Minimum of 5–7 years of professional experience in event planning and management, with at least 2–3 years in a senior or leadership role managing large-scale events, budgets, and teams.Experience with procurement and vendor processes and knowledge of or ability to quickly obtain knowledge of MCPS procurement and vendor regulations, processes and best practices.Experience in overseeing high-profile events, particularly in education, public sector, or nonprofit settings, is preferred. Demonstrated relevant experience considered.CERTIFICATE AND LICENSE REQUIREMENTS:Event management certifications such as Certified Meeting Planner (CMP), Certified Special Events Professional (CSEP), or other relevant credentials are highly desirable.

This position description is not intended to be an exhaustive list of all duties, knowledge, or ability associated with this classification in every office, but is intended to accurately reflect the core job elements.)Conducts short- and long-term planning and management for events.Develops, recommends, and approves budgets, marketing and merchandising plans, audio-video components, speaker and guest logistics, safety and security, participant services, and other aspects of events.Builds relationships with vendors and other business partners by researching and contracting with qualified, high-value service providers and nurturing partnerships with other organizations and businesses.Conceives of and assembles creative and innovative event themes and attractions to enhance event experiences and goals.Books and inspects banquet and catering functions, hotel accommodations, meeting facilities, and other spaces necessary for events.Hires, trains, mentors, and supervises event staff, and leads the events team to achieve organizational goals by working seamlessly with other departments and outsourced service providers to host effective and inspiring events.Administers other events department functions, such as budgeting, planning, purchasing, sales, marketing, scheduling, inventory, procurement, and overseeing vendor payments.Attends industry events and seminars and keeps up with trends and best practices.Performs related duties consistent with the scope and intent of the position.
