SUMMARY DESCRIPTION OF CLASSIFICATION: Under the direction of the Director, Division of Maintenance and Operations, the Computerized Maintenance Management System (CMMS) Administrator is responsible for the implementation, successful use and continuous improvement of the CMMS software, including supervision of ITSS and call center personnel. This position drives department planning in an effort to minimize total maintenance costs by maximizing work force capabilities through a cost-effective work management process.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Knowledge of database administration, asset management, and workflow processing. Working knowledge of computers to allow proper use of the computerized maintenance management (CMMS) system. Ability to read, interpret and diagnose work order requests, blueprints, diagrams, and verbal and written instructions. Familiarity with database report-writing applications. Ability to communicate effectively both orally and in writing. Ability to work in a collaborative, team-oriented environment; handle multiple projects, react quickly to hardware/software issues and provide innovative and effective approaches to improve staff experiences using software/hardware tools. Flexibility, adaptability and the ability to learn quickly while delivering quality work with tight deadlines. Must have excellent interpersonal skills; ability to build productive relationships with a wide range of stakeholders. Supervisory experience overseeing employees engaged in the operation of software. Familiarity with occupational safety regulations related to commercial maintenance trades. Demonstrated familiarity with the means and methods of commercial construction and facility maintenance. Professional facility maintenance and operations experience related to a public entity, preferably an agency related to public education. Demonstrated ability to supervise and evaluate staff and implement the Supporting Services Professional Growth System (SSPGS). Knowledge and application of the MCPS Professional Growth Systems (PGS) including the Supporting Services Professional Growth System and the Administrative and Supervisory Professional Growth System.
EDUCATION, TRAINING, AND EXPERIENCE: Bachelor's degree in business, engineering, computer science, information systems technology or related field of equivalent work experience. Two or more years of increased responsibility in CMMS implementation and operation, database management, and field experience in Facilities, Maintenance, Engineering, Design, and Construction.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

1. Serves as analyst to evaluate and optimize facility management processes regarding the use, maintenance, repair, and replacement of assets. Provides management with reports and analysis necessary for effective decision-making in equipment replacement, energy conservation, and capital replenishment.

2. Supervises data entry personnel and provides complete quality assurance of the data input by others.

3. Prepares procedures and flowcharts to define workflow processes, and translates these processes into the CMMS.

4. Defines, implements, and enforces inventory standards and maintenance activities for all building systems.

5. Implements and oversees the parts warehousing, energy management, and project management functions of the CMMS system.

6. Oversees implementation and training of the CMMS at all facilities. Provides comprehensive helpdesk service for all users.

7. Manages the software maintenance agreement and coordinates directly with the software vendor to resolve problems.

8. Defines and administers software users' access control to protect software integrity.

9. Ensures database availability, integrity, and backup to minimize disruption of software functionality.

10. Understands the database structure and reporting tools to effectively extract accurate information in a timely manner.

11. Coordinates with Technology Services and CMMS users to facilitate the importing and exporting of data.

12. Advises management in defining their data reporting needs to satisfy the evaluation of key performance indicators.

13. Provides trend analysis to ensure that assets are properly managed and maximized in their utilization and efficiency.

14. Identifies, analyzes, and reviews equipment maintenance problems with management and suggests revisions to the maintenance management program to improve facility operation.

15. Develops and analyzes reports on asset condition, equipment downtime, maintenance and repair records, inspection results, and customer service requests to recommend changes to inspection and servicing processes.

16. Participates in budget development and management of funds for related work.

17. Maintains the library of O&M manuals, drawings, manufacturer's specification sheets, schematics and effectively integrates associated scanned images into the CMMS.

18. Performs related duties as required.
