OFFICIAL TITLE: Office Assistant I CODE: 4010 SQ/OQ: Senior Qualified
WORKING TITLE: Office Assistant I GRADE: 08 MONTHS: 12
SUMMARY DESCRIPTION OF CLASSIFICATION: Under close supervision, performs beginning level clerical work of a routine nature. Work consists of a limited number of clearly defined tasks requiring no previous experience. Requires some familiarity with clerical work procedures and use of common office machines such as typewriters, calculators and computer keyboards
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Knowledge of business English, spelling and arithmetic. Ability to follow instructions and apply them to work tasks. Ability to maintain records. Some skill in the operation of keyboard devices such as typewriters and computer terminals. MCPS typing test required with the minimum required score achieved. Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING, AND EXPERIENCE: High School or GED diploma required. Experience in performing general clerical work. Other combinations of education, training, and experience that provide the knowledge, abilities, and skills necessary to perform effectively in the position.
CERTIFICATE AND LICENSE REQUIREMENTS: None
PHYSICAL DEMANDS: (Special requirements such as lifting heavy objects and frequent climbing.) Designated positions may require the sustained operation of keyboard devices.
SPECIAL REQUIREMENTS: (Frequent overtime or night work required, etc.) MCPS typing test required with the minimum required score achieved.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

Performs beginning level clerical work of a routine nature.

Inputs data into computer.

Opens, date stamps with date received, and distributes US mail and pony to office staff.

Checks files for completeness and for proper signatures, arranges items in files in proper order, and separates forms and mails as appropriate.

Maintains login/logout of correspondence, files.

Pulls files as needed.

Checks requisitions and purchase orders for completeness and accuracy.

Maintains requisition files.

Verifies prices on purchase orders against bids, catalogs or quotes nd makes appropriate corrections..

Verfies unit pricing and extensions and makes appropriate corrections.

Operates office photocopy machines to reproduce materials.

Answers office phones, takes and delivers messages.

Routes calls to appropriate staff.

Uses desktop computer, copier, fax, or typical office equipment to complete office tasks.

Types and fills in forms, type's materials from rough draft.

Performs related work as required.
