WORKING TITLE: Office Assistant III GRADE: 10 MONTHS: 12
SUMMARY DESCRIPTION OF CLASSIFICATION: Under general supervision, performs varied and responsible office and clerical work requiring an understanding of office or unit operations. Workers are responsible for ongoing assignments that are part of an important office operation; they follow through with work related to their assignments by checking and confirming, scheduling, coordinating, and arranging data, information or activities to complete assignments. The work requires interacting with other units throughout MCPS and with the public, answering inquiries of a semi-technical nature and making sure that matters are properly understood. Also included in the class are positions requiring proficiency in word processing and use of computer terminals, when such duties require use of the full range of word processing capabilities and equivalent use of computer terminals. Designated positions provide work leadership to other employees by virtue of their experience and skills, or may lead a small work group performing clerical work of a limited nature.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: MCPS typing test required with the minimum required score achieved. Working knowledge of business English and spelling, modem office practices and procedures, and office equipment including computer terminals, desktop computers, printers, scanners and similar devices. Ability to perform quickly and efficiently a wide range of standard office clerical tasks. Ability to maintain complex record systems and to compile data from such records. Ability to make decisions based upon experience, good judgment, and established departmental policies, procedures and regulations. Ability to operate word processing equipment with proficiency. Good skill in the efficient operation of a wordprocesser Good oral and written communications and human relations skills. Knowledge of the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING, AND EXPERIENCE: High School or GED diploma required. Nine months experience in progressively responsible office, general clerical or typing work. Other combinations of applicable education, training, and experience which provide the knowledge, ability and skills necessary to perform effectively in the position may be considered..

PHYSICAL DEMANDS: (Special requirements such as lifting heavy objects and frequent climbing.) Designated positions may require sustained operation of keyboard devices.
SPECIAL REQUIREMENTS: (Frequent overtime or night work required, etc.) MCPS typing test required with the minimum required score achieved.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

Performs varied and responsible office and clerical work involving requiring an understanding of office or unit operations.

Works on ongoing assignments that are part of an important office operation.

Follows through with work related to their assignments by checking, verifying data, scheduling, coordinating, and arranging data, information or activities to complete assignments and making corrections as needed.

Maintains computerized records, such as: students enrolled in free and reduced meals (FARMS) programs; purchase order, vendor and price quote records, etc. and verifies data.

Performs skilled word processing by producing a variety of documents (letters, memos, reports, evaluations, bid documents, announcements, forms, etc.) from rough draft copy, staff meetings, verbal instructions, sketches and/or brief notes.

Utilizes full capability of MS Office software to create style sheets, move or merge text, check spelling, calculate, create mailing lists and/or form letters, etc.

Maintains electronic data files of documents following established procedures for creating backup files, purging files, and storing files.
Interacts with other units throughout MCPS and with the public, answering inquiries of a semi-technical nature and making sure that matters are properly understood.

Gathers, prepares and submits payroll data.

Posts employee time and attendance to pay vouchers from daily work sheets and run records using calculator.

Balances period end amounts and transfers information to payroll vouchers.

Maintains employee lists on computer.

Answers telephone, providing appropriate information or direction to the customer and directs the call to appropriate staff member if further information is needed.

Performs receptionist duties at a main counter or desk serving a large number of visitors and callers providing detailed information in response to inquiries.

Answers inquiries regarding programs and services, explains requirements and assists callers in completing forms or other actions; maintains office or unit records for program and processes actions, for example processes due process appeal applications concerning special education programs and international student admissions.

Performs all tasks required to obtain information for various data reports .

Sets up files, verifies and checks data, completes forms, records changes and prepares summary reports.

Performs related work as required.
