SUMMARY DESCRIPTION OF CLASSIFICATION: Under direction the general direction of the associate superintendent of operation and executive director, provides drafting, copyediting, manuscript formatting, and proofreading of day-to-day outgoing office correspondence, reports, and written materials. Provides secretarial support to the executive director and office administrators. The nature of the work performed requires executive-level secretarial service and thorough knowledge of Montgomery County Public Schools (MCPS) organization, functions, personnel, and programs. Meets strict deadlines, handles highly confidential material, and works closely with administrators and high-level officials in MCPS. Exercises considerable initiative, confidentiality, sensitivity, sound judgment, and possess strong communication and interpersonal skills. In addition, is able to perform general clerical office duties to include operation of office equipment, computer applications (MS Office), answering phones, taking messages, greeting visitors, photocopying, assembling materials, and maintaining files. Able to work independently. Demonstrates behaviors reflective of the MCPS core values. Supports administrators assigned to associate superintendent of operations.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Considerable knowledge of business English, spelling, general vocabulary, punctuation, and mathematics, as related to budgets, data analysis and other related work. Extensive knowledge and use of a variety of digital applications, platforms, and programs required of MCPS staff to support the system's priority work. Considerable knowledge of modern office practices and procedures. Knowledge of the general organization and functions of MCPS, or the ability to rapidly acquire such knowledge. Ability to work independently and collaboratively and to carry out continuing assignments requiring the organization of materials, the handling of administrative details, the preparation of reports with minimal supervision. Ability to properly handle confidential information. Ability to use independent sound professional judgment and discretion in performing duties. Ability to design graphics, charts, and other visual operate word processing, database and spreadsheet applications, and other personal computing equipment to complete complex word-processing tasks. Strong proofreading, editing, communication, and interpersonal skills.
EDUCATION, TRAINING, AND EXPERIENCE: High School or GED diploma required. Associates degree desirable. Minimum two years progressively responsible secretarial work experience, (preferably at the central services level within MCPS or other school systems), with school or central office experience and one year of college-level course work desirable. Must have demonstrated copyediting and proofreading experience. Other combinations of applicable education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered. Completion of at least one year of college course work desirable.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

Reviews drafts and final copy of materials sent to schools, offices, Board of Education, elected officials, Maryland State Department of Education and community from various departments, divisions, and offices; reviews and edits outgoing correspondence and material for format, clarity of thought and accuracy, and compliance with Board policies. Works with staff to draft acknowledgments, prepare reports, databases, spreadsheets, charts, and graphs by efficiently demonstrating the ability to identify and utilize a variety of digital applications and platforms. Monitors deadlines required for submission of Board of Education materials, and for completion of other follow up to facilitate timely response by the office. Provides secretarial support to the executive director for all work-related activities including but not limited to meetings and professional learning sessions. Receives visitors and telephone inquiries, resolves issues, and screens calls for appropriate staff; takes notes and transcribes from individuals or groups. Demonstrates the core values of the school district as it relates to interaction and collaboration with staff and community. Performs related work as required.
