WORKING TITLE: Secretary GRADE: 12 MONTHS: 12
SUMMARY DESCRIPTION OF CLASSIFICATION: Under general supervision of the Director, Supervisor, or Administration Services Manager, and in collaboration with central office and school staff, performs varied office and secretarial work. This level is the first full secretarial level in the non-school-based secretarial series. After familiarization with the work, terminology and procedures, employees exercise initiative by performing and following through independently on a variety of matters requiring an understanding of the unit programs and related organizational units and functions of MCPS. Positions require good office clerical skills.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Considerable knowledge of business English, general vocabulary, spelling, and arithmetic. Working knowledge of secretarial procedures. Working knowledge of modern office practices and procedures. Ability to provide timely and accurate office support services to staff, compose routine office correspondence, setup and maintain office files, and manage office support services. Ability and skill in the proficient operation of desktop computer systems and common office equipment to needed to perform word processing or data system tasks required. Ability to communicate effectively required. Bilingual candidates who are fluent in Spanish and English desirable. Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING, AND EXPERIENCE: High School or GED diploma required. One year experience in performing responsible clerical and secretarial work in a busy office environment. Fluent in Spanish and English desirable. Other combinations of education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

Performs various administrative and secretarial duties necessary to support the goals of a department, division, or unit.

Receives, screens and assists individuals visiting the office.

Schedules and maintains supervisor/staff calendar(s), commits supervisors and/or staff to appointments, and coordinates meetings with staff from other departments, divisions, and other stakeholders.

Retrieves and distributes mail to appropriate staff members.

Answers large volume of telephone calls and inquiries, resolves issues and/or takes messages, screening and routing calls to appropriate supervisors and staff.

Attends meetings, takes minutes, types and distributes to stakeholders. Sets up and maintains administrative and confidential files.

Researches, compiles and analyzes information for reports and delivers to appropriate staff.

Collaborates with central office and school staff in gathering information on school activities, policy statements, etc. as required.

Prepares written materials from drafts, verbal instructions or on own.

Initiates actions to keep supervisor and staff informed of operations and follows up.
Creates and assembles materials and data for meetings and training.

Coordinates meetings, conference calls, and/or trainings, coordinates schedules and reserves meeting space inside and outside of MCPS facilities i.e. Carver Educational Services Center, Festival, etc.

Maintains and follows up on correspondence controls assigned, due dates, reviewers and signatures.

Receives and screens visitors to office, answers inquiries regarding operations, with requests by explaining procedures.

Performs skilled word processing by producing a variety of documents (letters, memos, reports, evaluations, bid documents, announcements, forms, etc.) from rough draft copy, verbal instructions, and brief notes.

Utilizes full capability of Office software to create spreadsheets, databases, word documents, PowerPoint presentations, moves/merges text, and creates mailing lists and form letters.

Uses FMS to order and maintain capital and operating budget accounts related to purchasing and outside vendors.

Answers inquiries regarding programs and services, explaining requirements and assisting callers in completing forms or other actions.

Maintains and inventories office supplies and arranges for equipment service or building service assistance as required.

Maintains office or unit records for program and processes actions.

May collect, process timesheets and leave slips and post payroll in Lawson and follow up.

Arranges for building service assistance as needed.

Process, assemble, and transport confidential files. Utilize software programs to create, enter and maintain data into databases and create reports. Organizing and coordinating translation services when required.

COSA staff in addition to the above the following apply:

Coordinates translation services for correspondence. Assists during the summer for registering teachers for training. Enroll, withdraws/transfer, query OASIS database student body.

Verify enrollment, (Montgomery county residency, immunizations, birth certificate, grade level, FARMS, custody, previous school records, administer/score placement tests, COSA (Change of School Assignment. (Upcountry field offices)

Performs related work as required.
