SUMMARY DESCRIPTION OF CLASSIFICATION: Under direction, coordinates and supervises clerical/secretarial services, performs varied and highly responsible, often confidential, office and secretarial work for director and reporting teams. Employee exercises considerable independence and judgment in performing the work. The work requires a thorough understanding of school system organization and functions, and strong secretarial skills. Serves as a receptionist for the office receiving callers, providing information, answering complaints or scheduling appointments for the office head or other staff members. Prepares correspondence independently from notes, instructions or on their own initiative, assuring appropriate form, style, punctuation, spelling and grammar. Types agendas, compiles agenda materials and oversees the copying and distribution of the agendas. In addition, the AS may record and drafts committee and/or department minutes.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Detail-oriented and professional. Considerable knowledge of business English, spelling, general vocabulary, punctuation and mathematics. Considerable knowledge of central services practices and procedures. Knowledge of the general organization and functions of Montgomery County Public Schools, or the ability to rapidly acquire such knowledge. Ability to independently carry out continuing assignments requiring the organization of materials, the handling of routine administrative details, the preparation of confidential reports and memos, and sound decision-making. Ability to review sensitive material and handle confidentially. Ability to use sound professional judgment and discretion in performing duties. Ability to operate standard office equipment. Extensive knowledge of the Microsoft Office suite of products, and related office software, to complete complex word processing tasks, develop PowerPoint presentations, and build and maintain Excel spreadsheets. Strong proofreading and editing skills. Excellent oral and written communications and human relations skills. Ability to multitask, prioritize changing assignments, and organize work load, meet deadlines, and work well under pressure, while exercising attention to detail. Ability to work independently and reliably. Ability to work as part of a team. Ability to organize and prioritize tasks including delegation of tasks when appropriate. Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING, AND EXPERIENCE: High School or GED diploma required. Associates degree desirable. Considerable progressively responsible secretarial work experience of three or more years, preferably with Montgomery County Public Schools, with school and central office experience. Other combinations of applicable education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered. Completion of at least one year of college coursework desirable.
CERTIFICATE AND LICENSE REQUIREMENTS: None
PHYSICAL DEMANDS: (Special requirements such as lifting heavy objects and frequent climbing.) Position requires sustained operation of keyboard devices. Prolonged periods sitting at a desk and working on a computer.
SPECIAL REQUIREMENTS: (Frequent overtime or night work required, etc.) Occasional overtime or evening work required.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

Provides administrative support and demonstrates skills required to compose memoranda, reports, correspondence, and replies to correspondence and maintains confidentiality as required.

Reviews and prioritizes mail, and directs correspondence to appropriate staff as needed, and maintains correspondence logs. Maintains files and records of office correspondence.

Creates and maintains various databases and products by proficiently using Excel, PowerPoint, and other software applications.

Receives reviews and/or develops reports for distribution to various departments for appropriate action.

Performs administrative tasks independently by showing initiative and with minimal supervision.

Types memos, correspondence, reports, and various routine forms, and makes changes in grammar, punctuation, or spelling as needed.

Reviews and edits outgoing correspondences and materials for format clarity and content accuracy.

Gathers budgetary and personnel data and prepares operating and activity reports.

Assists with scheduling meetings and appointments for office administrators.

Arranges for phone and video conferences and meetings including scheduling logistics, schedules space and time, and notifies participants.

Receives visitors and telephone inquiries, resolves issues, and screens calls for appropriate staff.

Assists with special projects and ensures tasks are completed in a timely manner.

Collects requested data and information from various sources including email and other correspondence, meeting minutes and records, and other documents; prepares summaries of findings and/or other related written correspondence as requested.

May conduct research (within skills and expertise) to assist with projects or inquiries.

Orders office supplies through the MCPS Business Hub and maintains office supply inventory.

Processes payroll.

Receives, opens and routes mail, maintains and orders office supplies and initiates and maintains administrative forms and procedures.

Assists with copying, scanning, faxing, emailing, note-taking, and travel bookings.

Demonstrates the core values of the school district as it relates to interaction and collaboration with staff and community.

Inspect documents, forms, records and other materials for accuracy and completeness; process a variety of forms and documents according to established procedures; assure conformance to established guidelines and standards.

Works collaboratively with office and school system colleagues to ensure the work is complete on time and with high-quality.

Responds to a variety of inquiries from a variety of internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information or direction and/or facilitating communication among parties.

Performs other similar or related duties which may not be specifically included within this position description, but which are consistent with the general level of the job and the responsibilities described for the purpose of ensuring the efficient and effective functioning of the work unit.
