EXAMPLES OF DUTIES AND RESPONSIBILITIES:
Coordinates and supervises the work of clerical staff assigned to the designated office. Assigns, coordinates, and monitors completion of the work of support staff assigned to the designated office. Maintains work load, work schedules and tracks leave requests for the office.Receives, reads, and screens all written and electronic incoming correspondence.Models professionalism, sensitivity, and confidentiality to assure the best customer service on the telephone and in person.Maintains the calendar for the assistant chief. Schedules appointments and meetings without prior clearance and makes arrangements for other members of the staff to represent the office when necessary; arranges for conferences and meetings, including scheduling space and time and notifies participants.Receives visitors and telephone inquiries; ascertains nature of calls, determines how and by whom response should be provided. Reviews and prioritizes incoming print and electronic mail and reroutes correspondence which can be referred to others. Drafts and responds to a variety of correspondence and memoranda for appropriate signature.Reviews all outgoing correspondence for grammar and format.Works in partnership with office and school system colleagues to facilitate cross-office collaboration to ensure the work is complete on time and with high-quality.Supports the development of correspondence and reports by researching, writing and reviewing draft documents. Prepares/oversees/proofreads agendas/talking points for daily meetings, Board of Education meetings, and special events. Arranges for phone conferences and meetings including scheduling logistics, schedules space and time, and notifies participants.Manages special projects and ensures tasks are completed in a timely manner.Demonstrates the core values of the school district as it relates to interaction and collaboration with staff and community.Performs related work as required.
