EXAMPLES OF DUTIES AND RESPONSIBILITIES:
Provides direct support to the chief and supports the priority work of the office and the school system.Manages the chief¿s calendar to ensure attendance at both internal and external meetings and events is consistent and on time;Demonstrates sound judgment to prioritize a complicated calendar when initiating and responding to requests for meetings and other work events.Schedules meetings and appointments making arrangements for space, time, people to attend, and utilizes digital platforms including serving as host and sharing documents with participants; reschedules appointments, as needed and without supervision, if unexpected or urgent matters of importance occur.Understand the office and system priorities in order to lead and manage the office staff to plan, assign and coordinate the work to effectively support all staff across multiple offices. Plans and conducts regularly scheduled and impromptu meetings with office staff to provide updates, share priority schedules and work, and to solicit updates from office staff to support the communication, collaboration and coordination within the office and across MCPS.Reviews all materials prepared for the Board of Education, the superintendent, the deputy superintendent, executive staff or external stakeholders to ensure information is error-free, accurate, and submitted on time. Additional requirements include editing content, correctness of grammar, typing accuracy, and conformance to policies and regulations, budgets, data analysis and other related work.Receives telephone calls and visitors, determines nature of their business, then, exercises sound judgment and decision-making skills to resolve many sensitive matters and to refer persons to the office that can best address their needs and concerns. Independently replies to a variety of correspondence and memoranda preparing letters and memoranda for signature by appropriate administrators. Reads and distributes incoming mail handling some personally, and directing the remainder - some to the chief with background material and some to the associate superintendents or their subordinates,Receives telephone calls and visitors, determines nature of their business, then, exercises sound judgment and decision-making skills to resolve many sensitive matters and to refer persons to the office that can best address their needs and concerns. Ensures effective and timely operational workflow that supports the work of the chief and other office administrators.Operates word processing, technology applications and tools, and other modern office equipment tools in the completion of complex and varied word processing tasks and instructs others in the operation of such equipment as required.Performs related work as required.
