WORKING TITLE: Pre-K Registrar GRADE: 13 MONTHS: 12
SUMMARY DESCRIPTION; PHYSICAL DEMANDS; AND SPECIAL REQUIREMENTS: Summary Description: Under general supervision, performs varied and responsible work in the registration of pre-kindergarten students, and in the preparation and maintenance of student records. Work of the class consists of applying specialized procedures to operate registration and enrolment processes and to maintain student data for the Head Start and MCPS pre-Kindergarten programs. Workers maintain contacts with parents and with elementary schools the students enter the following year. Considerable judgment is exercised in the release of confidential information, retention of information in the student official record, and researching and interpreting information to be entered into the record. Volume and nature of work follows the school year cycle, and employees exercise considerable independence in scheduling work to achieve maximum efficiency. Employees are required to exercise extreme tact in working with parents, school-based staff, and confidential information. Physical Demands: Designated positions may require sustained operation of keyboard devices. Special Requirements: Work is subject to tight deadlines. May require some night or weekend registration activities.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE SKILLS ABILITIES: Considerable knowledge of modern office practices and procedures with specific reference to data base skills; data entry skills; knowledge of records management, considerable knowledge of business English vocabulary, spelling, and arithmetic. Ability to verify incoming records, maintain a complete record system and assemble and organize data and prepare reports from such records; ability to work independently and to exercise tact and sound judgment in working with confidential; ability to make student referrals to appropriate school personnel, make decisions in accordance with established policies and procedures and maintain clerical records and prepare reports. Ability to work effectively with students, parents, administrators, and instructional staff, and other school employees, and the central office staff. Skill in the proficient operation of computer keyboard. Proficient use of MS Office products. Excellent human relations skills. Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING AND EXPERIENCE; CERTIFICATE AND LICENSE REQUIREMENTS: Education Training Experience:High School or GED diploma required. Two years experience in performing responsible secretatrial, fiscal, and student support work in a busy office environment. Other combinations of education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.Certificate License:None

DUTIES AND RESPONSIBILITIES:

Example Duties:Enroll low income eligible children 3 4 years old into the Pre-Kindergarten Head Start program. Directs and coordinates registration activities in the community throughout Montgomery County at various recreation centers and Rocking Hill Center. Serves as initial point of contact parents registering their children. Maintains the registration database, makes changes when appropriate. Maintains accuracy of student files, such as enrollment, withdrawals, transfers, and various information changes. Conduct written and oral communications with parents, teachers, transportation, Residency and Compliancy office and International Students admissions Office (ISAO) administrators and other agencies outside of MCPS. Compiles statistical data on student registration, diversity, to appropriate administrative staff. Relays information and keeps school staff informed of matters. Answers inquiries and assists visitors with obtaining information and assistance; refers visitors to other staff as appropriate. Create and gather student specific information and forwards student records to various schools. Maintains, prints class rosters for teachers and transportation. Coordinate and train temporary office in office procedures, (filing, data entry, making file folders.etc.). Verify Enrollment, (Montgomery county residency, immunizations, birth certificate. Arrange student transportation. Perform related work as required.
