SUMMARY DESCRIPTION OF CLASSIFICATION: Under direction, manages the operations of the school's main offices and its staff. Ensures that school office and related administrative activities are conducted in accordance with established policies and procedures, makes decisions involving office routines and procedures, and leads and trains other clerical staff. Supports the principal and the administrative team by carrying out administrative duties, such as first-line response, maintaining schedules, and reviewing correspondence for formatting, spelling, punctuation, and grammar before submitting for assigned administrator's signature. Responsible for interacting with various stakeholders of the school community and the school system.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Thorough knowledge of modern office practices and procedures; office management; standard records procedures; business English; computer proficiency to include multiple computer applications designed to execute office work. Ability to multi-task, work independently, and proactively; meet deadlines; maintain confidential and important data and records and prepare reports from such records; compose and proofread correspondence; interact effectively and courteously with the school community; exercise sound judgment and discretion in applying and interpreting school policies and procedures. Demonstrates commitment to students; high degree of professionalism; excellent problem-solving, organizational, communications, and interpersonal skills with minimal supervision. Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING, AND EXPERIENCE: High School or GED diploma required. Associates degree preferred. Minimum five years of progressively more responsible experience, three of which shall have been performing clerical work in a school setting. Training in personal computing sufficient to perform complex tasks working with text documents, spreadsheets and databases. Other combinations of applicable education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

Oversees all main office responsibilities and operations, providing support and guidance to students, staff, and the community regarding various issues, operations, policies and procedures; establishes and maintains office procedures and routines.

Performs complex office work independently.

Maintains office staff schedules and facilitates training for clerical staff.

Supports staff, operations, and activities during the summer; supports the preparation for the opening and closing of school.

Monitors and facilitates substitute system and classroom coverage.

Schedules and maintains the master calendar as well as calendars for the principals and other school organizations.,

Supports the planning and implementation of school meetings and school-wide events.

Serves as staff directory manager.

Maintains confidential records and databases as needed, including employee evaluation systems, verifying monthly position management reports, processing and entering suspension and expulsion letters into Synergy, and maintaining the MCPS Serious Incident Report database.

Coordinates translation services for correspondence.

In collaboration with school administration, provides announcements to community by utilizing various agreed upon platforms.

Receives, proofreads, and edits correspondence, and other written materials to ensure conformance to MCPS protocols, policies, and regulations, and timely delivery.

Receives calls, gathers information, researches and resolves inquiries, issues, and complaints presented by students, staff, parents, and the community. Refers inquiries to appropriate staff for action and follow up if necessary.

Participates in preparing local school crisis plan in all school security situations serving as a member and record keeper for the On-site Emergency Team (OSET). May be asked to serve as a member of the school's crisis team.

As directed, maintains and updates fire drill plan, and shares with the appropriate MCPS staff and Fire Marshall. Coordinates the fire watches when fire alarm system is disabled.

Initiates appropriate action for addressing emergencies and alerting appropriate offices such as, lockdown and shelter incidents, bomb threat, missing children, allegations of child abuse and neglect and Title IX infractions, etc.

Processes confidential documents and records for students.

As directed, maintains and updates the School Improvement Plan (SIP) allocations, professional learning activities, and grants.

Serves as the back-up to the health room.

Monitors processes related to extra-curricular activities to ensure the proper forms and information are received and required actions are completed on time.

Sets up and maintains school bell schedules in the PA system as directed.

Assists with the monitoring, scheduling and following up on issues related to transportation.

Serves as liaison for reporting all worker related accidents.

May serve as timekeeper, manage payroll and JP Morgan transaction approvals.

Maintains office supply inventory.

Performs duties as assigned.
