OFFICIAL TITLE: Personnel Assistant I CODE: 4680 SQ/OQ: Senior Qualified
WORKING TITLE: Personnel Assistant I GRADE: 10 MONTHS: 12
SUMMARY DESCRIPTION OF CLASSIFICATION: Under general supervision, maintains personnel data files and processes personnel transactions. The work of the class involves processing personnel actions such as employment applications, requests to verify employment, new hires, terminations, leaves, and salary changes. Workers receive forms, requests and other documents, examine documents for completeness and enter into computerized recording and processing system. The work requires extensive communication with operating staff, employees and applicants to check and verify information, respond to inquiries, research data, and resolve problems. Workers use typewriters, computer terminals and other office appliances.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Working knowledge of business English and spelling. Working knowledge of modern office practices, procedures and equipment is essential. Ability to perform a wide range of standard office clerical tasks quickly and efficiently. Ability to maintain complex records and to prepare reports from such records. Ability to make decisions based upon experience, good judgment, and established departmental policies, procedures, and regulations. Ability to operate word processing equipment with proficiency and good skill in the efficient operation of a typewriter may be required for some positions. Good oral and written communication and human relations skills. Ability to treat data and records confidentially. Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING, AND EXPERIENCE: High School or GED diploma required. Nine months experience in progressively responsible office, general clerical or typing work. Other combinations of applicable education, training, and experience which provide the knowledge, ability and skills necessary to perform effectively in the position may be considered..
CERTIFICATE AND LICENSE REQUIREMENTS: None
PHYSICAL DEMANDS: (Special requirements such as lifting heavy objects and frequent climbing.) Positions require sustained operation of keyboard devices.
SPECIAL REQUIREMENTS: (Frequent overtime or night work required, etc.) Attainment of a required score on the MCPS Typing Test may be required of designated positions. Ability to work overtime as required. Limited annual leave, for designated positions, during summer season.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

1. Checks transaction documents for completeness and enters data into computer terminal.

2. Updates data files with new information, requests for changes, and other actions.

3. Posts information to files; looks up information upon request.

4. Administers employment tests.

5. Work may involve fingerprinting new employees and conducts orientation sessions.

6. Maintains logs, files and records regarding periodic and ongoing personnel processes such as performance evaluations.

7. Maintains and compiles statistics regarding personnel transactions.

8. Verifies employment, positions held and salary.

9. Follows up with employees and operating staffs to ensure that required forms and actions are properly submitted.

10. Answers phone inquiries of applicants, employees and administrators regarding personnel transactions; explains status of actions and procedures; calls to obtain information and to clear up discrepancies.

11. Researches files for information.

12. Performs related work as required.
