SUMMARY DESCRIPTION; PHYSICAL DEMANDS; AND SPECIAL REQUIREMENTS: SUMMARY DESCRIPTION OF CLASSIFICATION: Under general supervision in the Division of Safety and Emergency Management, the Personnel Assistant III, Employee ID Services (assistant) performs a variety of clerical tasks and specialized support functions to ensure efficient operations of the district’s employee ID services. The work involves performing card production logistics, supporting system operations, contacting internal clients and external vendors, and processing service transactions while maintaining confidentiality and compliance. Workers use initiative to ensure that activities are performed according to established rules and procedures, and take steps to research and correct errors or problems encountered in the work, ensuring high-quality customer service and operational readiness in alignment with Montgomery County Public Schools (MCPS) policies and procedures. Works collaboratively with and escalates complex issues to the Employee ID Services Specialist. PHYSICAL DEMANDS Position typically requires sustained use of keyboard and ID card equipment, as well as occasional lifting and handling of card stock, printer supplies, and related materials. SPECIAL REQUIREMENTS This position may require flexibility to work beyond regular hours, such as evenings or weekends, during peak ID issuance periods or system maintenance cycles.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE SKILLS ABILITIES: Knowledge, Skills, and AbilitiesConsiderable knowledge of business English, spelling, general vocabulary, and arithmetic; working knowledge of modern office procedures; skilled in operating typical office computer workstations and software applications with proficiency and be able to quickly learn how to operate specialized ID equipment. Ability to make decisions based upon experience, good judgment, and established division policies, procedures, and regulations. Ability to exercise independent initiative to perform both original and recurring assignments required; ability to quickly learn new technology and processes related to ID issuance practices, and ID system operations, and card production workflows. Must be extremely detailed oriented and accurate in record tracking, data entry, maintaining inventory and supplies, composing correspondence and general office procedures. Strong interpersonal and communication skills to interact effectively with diverse MCPS staff, vendors, and service providers. Ability to maintain files, and manage confidential information. Knowledge of or the ability to quickly learn and meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).  
EDUCATION, TRAINING AND EXPERIENCE; CERTIFICATE AND LICENSE REQUIREMENTS: Education, Training, and Experience:High school diploma or GED is required. A minimum of two years of experience in a busy office environment is required, preferably with exposure to ID systems. Must have experience with data entry, record keeping and customer service. Prior work involving service verification, cash handling, billing support, or office systems is desirable. Alternative combinations of education and experience that adequately prepare the candidate for the role may be considered.Certificates and Licenses:None

DUTIES AND RESPONSIBILITIES:

Not all duties assigned are included, nor are all duties listed performed in every office or every day.)Assists with all facets of daily operations of MCPS employee ID services by performing clerical and administrative tasks. Tracks card production schedules; prepares materials for issuance; ensures adequate supplies and functioning of ID equipment. Manages data entry and updates in identification systems; assists in generating reports for the division and helps to ensure data accuracy and security consistent with district protocols.Responds to inquiries from staff and departments regarding ID services; provides procedural guidance.Processes service transactions such as card replacements, fees, and billing requests under supervision. Communicates with vendors and internal departments to schedule service needs or resolve operational issues, following up independently as necessary.Processes receipts, maintains transactional logs, assists with billing documentation, and helps reconcile service fees or materials usage in support of fiscal accountability. Arranges logistics for high-volume production events. Supports training for temporary or part-time ID service assistants and may provide coverage for the Specialist as backup during absences.Scans and maintains confidential records, organizing electronic and hard-copy filing systems ensuring proper handling of sensitive information, and applying retention and backing-up procedures. Assists in preparing materials for reporting or budget reviews.Coordinates meeting logistics and participates in special projects related to ID system upgrades, outreach, or emergency preparedness.Performs related duties as required consistent with the scope and intent of the position.
