WORKING TITLE: Personnel Assistant III GRADE: 12 MONTHS: 12
SUMMARY DESCRIPTION OF CLASSIFICATION: Under general supervision, performs personnel technician work in processing personnel transactions and providing personnel services. The work of the class involves responsibility for central office processing of personnel transactions. Workers apply detailed understanding of personnel rules and regulations, controlling data input into the computerized personnel data system, administering employment tests, maintaining allocation controls and similar matters. Workers use initiative to ensure that activities are performed according to established rules and procedures, and take steps to research and correct errors or problems encountered in the work.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Working knowledge of personnel processing procedures and applicable rules and regulations. Working knowledge of business English and spelling. Working knowledge of modern office practices, procedures and equipment is essential. Ability to instruct others in the work. Ability to perform a wide range of standard office clerical tasks quickly and efficiently. Ability to maintain complex records and to prepare reports from such records. Ability to make decisions based upon experience, good judgment, and established departmental policies, procedures, and regulations. Ability to enter data with accuracy and efficiency. Good oral and written communication skills. Excellent human relations skills. Some positions may require skill in using word 0processing, spreadsheets and database applications. Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING, AND EXPERIENCE: High School or GED diploma required. One year experience in performing responsible clerical and secretarial work in a busy office environment. HS diploma or GED required. Post HS courses in business related fields.. Experience working in a Human Resources office maintaining sensitive personnel information preferred. 1-2 years of general office experience required. Proficiency in a range of computer software applications, including programs and databases such as MSWord, Excel, Fortis, and Adobe . Ability to learn new software programs. Excellent organization and time management skills. Strong attention to detail. Other combinations of education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.
CERTIFICATE AND LICENSE REQUIREMENTS: None.
PHYSICAL DEMANDS: (Special requirements such as lifting heavy objects and frequent climbing.) Positions require sustained operation of data entry equipment.
SPECIAL REQUIREMENTS: (Frequent overtime or night work required, etc.) Attainment of a required score on the MCPS Typing Test.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

Ensures that all input into the personnel data system is accurate; checks and verifies transaction documents and input.

Processes transaction documents; checks documents for completeness and enters data into computer terminal; updates data files with new information, requests for changes, and other actions.

Maintains and compiles statistics regarding personnel transactions.

Follows up with employees and operating staffs to ensure that required forms and actions are properly submitted.

Answers phone inquiries of applicants, employees and administrators regarding personnel transactions; explains status of actions and procedures; calls to obtain information and to clear up discrepancies.

Researches files for information.

Administers and scores employment tests; enters and updates test scores in a computerized database; ensures standard procedures are followed during testing; instructs applicants on test procedures and answers questions; maintains daily log of applicants and types of tests administered; compiles and tabulates testing data.

Performs related work as required.
