WORKING TITLE: Personnel Assistant IV, Certification Unit GRADE: 15 MONTHS: 12
SUMMARY DESCRIPTION OF CLASSIFICATION: Under general supervision, performs technical work related to the certification program. Duties involve analyzing official transcripts and coursework for the purposes of salary advancement and certificate renewal; processing Advanced Professional Certificate (APC) renewals; updating and maintaining accuracy of data in the MCPS and Maryland State Department of Education (MSDE) databases related to certification and employment; and providing general information related to services provided by the unit
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Considerable knowledge of MCPS policies, procedures, personnel, operations, employment requirements, course work and training required for professional personnel. Ability to understand complex personnel data systems. Proficiency in a range of computer software applications, including programs and databases such as MSWord, Excel, Fortis, and Adobe. Ability to learn new software programs. Excellent organization and time management skills. Strong attention to detail. Ability to enter data accurately and efficiently. Ability to operate computer applications with proficiency and good skill. Ability to lead and train others in the work. Ability to perform several responsibilities simultaneously, quickly, and efficiently. Ability to make decisions based upon experience, good judgment, and established departmental policies, procedures, and regulations. Ability to communicate effectively both orally and in writing. Good human relations skills. Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING, AND EXPERIENCE: High School or GED diploma required. Associates degree preferred. minimum two years experience working in an office environment providing detailed work tracking client/customer status, required. Other combinations of education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.
CERTIFICATE AND LICENSE REQUIREMENTS: Ability to obtain Certification Authorized Partner Associate (CAPA) status by MSDE to review and process APC renewals.
PHYSICAL DEMANDS: (Special requirements such as lifting heavy objects and frequent climbing.) Positions require sustained operation of keyboard devices.
SPECIAL REQUIREMENTS: (Frequent overtime or night work required, etc.) Attainment of a required score on the MCPS Typing Test.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

1. Provides certification services and information to MCPS educators (teachers, specialists, and administrators)

2. Creates and/or updates educator post-baccalaureate records (PBR)

3. Analyzes and determines eligibility of educators for salary advancement and to ensure educators are on the correct salary lane

4. Assists in ensuring new hire files are complete for the purposes of requesting Maryland certification

5. Ensures that Advanced Professional Certificate (APC) renewals are reviewed and processed in a timely manner

6. Provides excellent customer service to all stakeholders

7. Performs related work as required.
