SUMMARY DESCRIPTION OF CLASSIFICATION: Under general direction of ITV supervisor, maintains and processes unit fiscal records and prepares related reports. The work involves supervision and performance of accounts maintenance, financial transactions processing, procurement, payroll, and similar matters for both the MCPS and Montgomery County Government financial departments. The assistant interacts with the unit supervisor, central office staff and Montgomery County Govt. staff to ensure timely and accurate completion of the work. The assistant also provides support to the ITV unit supervisor.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Considerable knowledge of accounts maintenance, procurement procedures, and related record kept for both MCPS and Montgomery County Government. Has knowledge of office methods and procedures, including files research, record keeping, and statistical compilation. Has ability to perform accounts clerical work quickly and accurately; ability to perform duties in accordance with strict schedules. Has knowledge of administrative support functions. Is able to maintain a central record system and prepare financial and other reports. Has knowledge of Microsoft Office suite and MCPS format for preparing correspondence. Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING, AND EXPERIENCE: High School or GED diploma required. Associates degree preferred. Course work in business and commercial subjects. Experience in performing accounts maintenance, related fiscal work, and office support functions. Other combinations of applicable education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

1. Ensures accurate, timely, and proper process of purchasing requests, preparing forms, checking product accuracy, and following through to ensure expeditious shipment and receipt of materials.

2. Responds to inquiries from vendors and other outside organizations regarding procurement and fiscal matters.

3. Processes time, attendance, and payroll actions.

4. Communicates with unit staff, MCPS and Montgomery Co. Government accounting departments to learn new/changed procedures, coordinate processing, resolve problems and prepare reports.

5. Devises procedures and forms to improve office operations.

6. May instruct/supervise other staff performing office clerical and administrative support work.

7. Performs related work as required.
