SUMMARY DESCRIPTION; PHYSICAL DEMANDS; AND SPECIAL REQUIREMENTS: Summary Description: Under direction, coordinates and manages the system wide diploma preparation, ordering and distribution process and oversees the collection and dissemination of statistical student data used for federal, state, and Montgomery County Public Schools (MCPS) reports. Physical Demands: None Special Requirements: Ability to work overtime as necessary to meet required deadlines.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE SKILLS ABILITIES: Considerable knowledge of report preparation. Thorough knowledge of local, state and federal requirements relating to statistical information about MCPS. Advanced computer skills related to the use of word processing, spreadsheets and database software. Ability to write clear, concise memoranda to a variety of stakeholders with different purposes. Ability to organize and manage several tasks concurrently. Ability to make decisions based upon experience, good judgment, and established state, district, and departmental policies, procedures and regulations. Ability to produce work requiring a high degree of accuracy. Excellent communications and interpersonal skills. Working knowledge of MCPS organization and internal office procedures.
EDUCATION, TRAINING AND EXPERIENCE; CERTIFICATE AND LICENSE REQUIREMENTS: Education Training Experience:Bachelors degree required. Three or more years of experience in data collection and reporting is requisite for position. Experience working with databases, specifically using queries to generate reports, is preferred. Considerable knowledge of MCPS and state of Maryland high school graduation requirements.Other combinations of applicable education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.Certificate License:None

DUTIES AND RESPONSIBILITIES:

Example Duties:Assists schools and offices as appropriate in matters relating to verification of high school seniors meeting graduation requirements prior to receiving a high school diploma, certificate of merit or certificate of attendance.Provides assistance to all schools in resolving course credit and grade reporting problems related to graduation requirements.Determines annual quantity of high school diplomas and covers needed; orders, distributes, and accounts for same; maintains follow-up statistics and reports on MCPS graduates.Prepares Governor Merit Scholarship rosters for MCPS schools and reports award recipients to the Maryland State Department of Education (MSDE).Compiles and distributes documentation related to graduation data for each school upon request by MCPS Board of Education and other outside organizations.Maintains working relationship with school-based staff and provides assistance to the record keepers on a variety of topics related to reporting. Supports training opportunities for school-based staff in group training or one-to-one formats as requested.Assists in performing random audits of current students¿ high school transcripts on a routine basis, assembling a review of the findings for school-based staff and following up to ensure actions are taken.Collects documentation from MCPS school that is submitted to (MSDE) on students living in Out of County Living Arrangement (OCLA) and Information Kinship Care (IKC).Prepares Enrollment and Deviation report and distributed to MCPS personnelResponsible for ordering and distributing replacement diplomas for MCPS alumni.Understands and applies principles of performance evaluation and professional growth standards for employees.
