OFFICIAL TITLE: Data Support Specialist I CODE: 5850 SQ/OQ: Optimal Qualified
WORKING TITLE: Data Support Specialist I, Division of Maintenance and Operations (DMO) GRADE: 21 MONTHS: 12
SUMMARY DESCRIPTION OF CLASSIFICATION: Under general supervision, collects, records and disseminates all technical and workforce information for the Division of Maintenance and Operations (DMO). Prepares and distributes scheduled reports. Responsibilities include workforce/human resource data including certification expiration, renewal tracking; staffing needs data; onboarding process data and tracking. Compiles, prepares and distributes reports for the interagency commission of school construction (IAC). Tracks professional growth and advancement data through job bands as criteria are met. Oversees the maintenance of all safety data and training tracking and associated technical activities.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Knowledge of personnel policies, procedures, and regulations, particularly those related to facilities maintenance, grounds care, and custodial services. Knowledge of the HRIS and facilities management system or computerized maintenance management systems (CMMS) required. Must possess strong consultation skills and be able work effectively with others designing, evaluating and executing workforce data reports; must possess strong communication and organizational skills. Working knowledge of standard database technologies and their use in workforce reporting required. Knowledge of programming languages, tools, and database management software including Microsoft Excel, Word, and Access, Visual Basic, Oracle (or another relational database), Discover (or other SQL-based query language), and Visio. Ability to assist with the planning and coordination of tasks in new application implementations. Ability to learn new software and processes as they become available.
EDUCATION, TRAINING, AND EXPERIENCE: Bachelor's degree in computer science, business administration, or human resources. College coursework or certifications in computer science, business administration, or other related field. Progressively responsible experience in a fast paced, high performance office environment. Some supervisory experience desirable. Other combinations of applicable education, training, and experience that provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered in lieu of degree.

PHYSICAL DEMANDS: (Special requirements such as lifting heavy objects and frequent climbing.) Position requires sustained operation of keyboard devices.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

1. Designs, develops and maintains various DMO databases and reports.

2. Prepares and maintains all DMO technical performance data and reporting.

3. Compiles, prepares and distributes reports for the IAC in response to facility assessments.

4. Manages files, records, and other documentation relative to certifications, and notifies employees/managers about certification expirations, renewals, etc.

5. Maintains database of all DMO staff trade, technology, equipment- and vehicle-related certifications, including tracking expiration dates and renewals.

6. Maintains records for onboarding of new hires, including background checks and applicant fingerprinting.

7. Checks driving record and the statewide alcohol and drug testing databases. Update and maintain information in DMO databases.

8. Prepares statistical reports about hiring and retention of DMO personnel.

9. To interact with teams to deliver and process data in response to inquiries, issues, and needs for database, procedures, and services.

10. Performs other related duties as required.
