Transportation Time and Attendance Assistant

WORKING TITLE: Transportation Time and Attendance Assistant GRADE: 14 MONTHS: 12
SUMMARY DESCRIPTION OF CLASSIFICATION: Under general supervision, performs time and attendance reporting work for bus operators, bus attendants and other transportation staff. The work of the class involves maintaining and reporting hours worked, time off and related information for transportation personnel. The workers receive daily sheets for dispatchers and calculate hours worked for each person, and post information. The work requires general office skills and ability to use common office appliances.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES: Working knowledge of business English and spelling. Working knowledge of modern office practices, procedures and equipment. Ability to perform arithmetic calculations quickly and accurately. Working knowledge of bookkeeping skills, MCPS pay codes and leave procedures. Ability to perform a wide range of standard office clerical tasks quickly and efficiently. Ability to maintain complex records and to compile data from such records. Ability to reconcile and correct records, as necessary. Ability to prioritize, maintain scheduled deadlines, and large assignments for the transportation depot. Knowledge of MS Office and Google spreadsheet programs. Ability to make decisions based upon experience, good judgment, and established departmental policies, procedures, and regulations. Ability to operate word processing equipment with proficiency. Ability to maintain confidentiality. Good oral and written communications, human relations and organizational skills. Knowledge of and the ability to meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
EDUCATION, TRAINING, AND EXPERIENCE: High School or GED diploma required. Experience in progressively responsible office, general clerical, and bookkeeping work. Other combinations of applicable education, training, and experience which provide the knowledge, abilities, and skills necessary to perform effectively in the position may be considered.
CERTIFICATE AND LICENSE REQUIREMENTS: None
PHYSICAL DEMANDS: (Special requirements such as lifting heavy objects and frequent climbing.) Designated positions may require sustained operation of keyboard devices.
SPECIAL REQUIREMENTS: (Frequent overtime or night work required, etc.) Attainment of a required score on written assessment may be required of designated positions.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

1. Gathers, prepares and submits payroll data for transportation operations personnel. 2. Posts employee time and attendance to pay vouchers from daily work sheets and runs records. 3. Balances period end amounts and transfers information to payroll vouchers and payroll systems. 4. Maintains employee database on computer. 5. Maintains and retains pay records according to prescribed recordkeeping policies and procedures. 6. Maintains daily reporting. 7. Communicates and works with staff in Transportation Central Administration budget team, IT Unit, Field Trip Unit, and others to develop reports as needed. 8. Exercises professional and fiscal judgment to exercise responsibilities for time reporting and posting. 9. Meets deadlines such as closing payroll before the pay period ends. 10. Attends meetings as required. 11. Performs related work as required.
